Role Overview:

We are looking for a dependable and detail-oriented Remote Personal Assistant to support the Director of a Singapore-based music school with student administration, lesson scheduling, parent communications, and day-to-day operations.

This is a highly structured administrative role involving regular scheduling, data entry, enrolment processing, fee tracking, and follow-ups. The successful candidate must be comfortable performing repetitive tasks while maintaining a consistently high level of accuracy, patience, and professionalism.

Candidates with experience in education administration, enrichment or tuition centres, or executive assistant support will have a strong advantage.

Key Responsibilities:

• Manage the Director's calendar, emails, and follow-ups.

• Maintain lesson schedules and teacher timetables, and arrange make-up and replacement lessons.

• Respond to website, WhatsApp, and email enquiries from parents and adult learners, and arrange trial lessons.

• Process new enrolments, withdrawals, and term renewals, and keep the student database up to date.

• Prepare monthly fee invoices and track outstanding payments and reminders.

• Coordinate music exam registrations (e.g. ABRSM), deadlines, and exam-day details.

• Support recitals, student concerts, and community events, including invitations, RSVPs, and logistics.

• Handle data entry, document review, and administrative tracking with high accuracy.

Requirements:

• Experience in administration, executive assistant, or customer service roles, ideally in a music school, enrichment, tuition, or education centre.

• Familiarity with Google Calendar, scheduling tools, and student or class management systems.

• Proficient in Microsoft Excel/Google Sheets, including regular data entry, tracking, and record maintenance.

• Excellent written and spoken English, with the ability to communicate warmly and professionally with parents.

• Knowledge of music exams such as ABRSM is a plus.

We are looking for someone who:

• Is highly meticulous, patient, and attentive to small details, particularly with schedules and payments.

• Is comfortable performing repetitive administrative tasks accurately and consistently.

• Is proactive and resourceful, and follows through on outstanding matters without constant reminders.

• Is a fast learner who quickly grasps structured processes.

• Can manage last-minute schedule changes, multiple deadlines, and competing priorities calmly.

• Handles confidential student, parent, and payment information responsibly.

• Is receptive to feedback and committed to continuous learning and process improvement.

• Is interested in a stable, long-term working relationship.
